PingPaid vs The Competition: Honest Comparison (2026)

Published June 2026 · Independent Review · 6 min read

I've tested 50+ invoice tools. I've been burned by "free" tools that weren't free. I've spent weekends setting up "simple" self-hosted solutions that needed a DevOps degree.

This is the honest comparison I wish existed when I started freelancing.

❌ The "Free" Trap

Here's what I learned testing these tools:

  • "Free tier" tools: FreshBooks gives you 1 client free. One. That's not freelancing, that's a hobby.
  • "Free trial" tools: 30 days then $29/month. You build your workflow, they take it hostage.
  • "Free with watermark" tools: Your invoice says "Generated by FreeTool™" at the bottom. Professional? No.
  • "Free but requires your data" tools: Sign up with email, verify phone, connect bank account. For a PDF. Really?

✅ What "Actually Free" Means

For me, "actually free" means:

  • No signup required
  • No credit card required
  • No watermarks
  • No "free tier" limits
  • No expiration
  • Open source (optional but preferred)
  • Works offline after first load

PingPaid, InvoiceShelf, and Accountill are the only ones that meet all criteria. InvoiceShelf and Accountill require setup. PingPaid requires zero setup.

📊 My Recommendation

Start with PingPaid for instant invoicing. It's free, requires zero setup, and works everywhere.

If you outgrow it (need recurring invoices, multi-user, CRM), migrate to InvoiceShelf or Wave.

Don't pay for invoicing software until you're making enough that $17/month is irrelevant. Until then, free tools are more than enough.

Disclosure: I built PingPaid. This comparison is based on my actual testing of each tool. I have no financial relationship with any other tool mentioned. Star counts are from GitHub as of June 2026. Prices may have changed. Always verify current pricing before signing up.
